Six builds, one shared venue
Six stage-and-LED setups for parallel tracks, plus a registration bank and an exhibition zone, had to rise inside shared corridors, power lines, and load-in windows, each with its own AV signal path and go-live time. The difficulty was not any single stage; it was sequencing all of them so that no build blocked another.

Two-day production in 24 hours
The full multi-zone setup had a single build day ahead of a two-day event, a timeline that left no margin for rework and required every crew member and vendor to hit their slot with quality precision.
Two recces, one locked design
ManageEngine engaged MadMaze well ahead of the dates, and the lead time was used deliberately. The team ran two separate recces at the Hilton, mapping every zone, power point, and load-in route before designs were finalized in direct consultation with MadMaze, so the approved plan already matched the room.
One crew lead per zone
The venue was divided into bounded zones, each with a dedicated MadMaze crew member accountable for finishing on time. This distributed ownership allowed six setups, registration, and the exhibition area to progress in parallel rather than in sequence, and closed a full multi-zone build inside one day.
Production built for a tech brand
MadMaze delivered staging, audio, and audio-visuals across all six setups, plus venue branding and entertainment. The builds were heavily customized: bespoke registration booths, a custom photo booth, and a kinetic LED wall gave the conference a distinct identity rather than a standard ballroom look.
Solving the late call on the ground
On-site, the client requested a stronger brand presence with additional beach flags. MadMaze designed, printed, and deployed the new branding collateral at short notice without disturbing the live schedule, turning a late request into a solved problem.
